2gether Support Solutions is a Facilities and Estates services company providing support to healthcare professionals caring for over 2000 patients daily across multiple East Kent hospital sites. 2gether provides vital services including maintenance, cleaning, catering, procurement, logistics and much more.
We’re looking for a Goods Receipting Supervisor to join our team at the William Harvey Hospital in Ashford. As the supervisor of the Procurement GRN Team, you will oversee and manage staff responsible for processing and receipting all goods and services ordered for 2gether Support Solutions and East Kent Hospitals University NHS Foundation Trust (EKHUFT). Your role will ensure efficient operations and adherence to procurement standards.
This is a full time permanent position working Monday to Friday, 8am to 4pm.
Your Responsibilities:
- Run monthly reports on Goods receipting activity for the GRN Team and wider GRN’ing across both organisations. Feeding into the monthly Procurement Dashboard and highlight report.
- Managing staff absence including annual leave and sickness
- Run regular reports on unmatched invoices, investigating and resolving the issues liaising with other Procurement colleagues, Payables and supplies to ensure a prompt and efficient service
- Act as first point of contact for all procurement system goods receipting queries. Delivering excellent customer service
- Assist in the development of the e-Procurement strategy
- To provide support & training to employees as it relates to Goods receipting on the Business World System
- Organising and monitoring the daily work of the GRN team and escalating any issues to the Procurement systems and Policies Manager
- Goods Receipting of Delivery notes on the Business World system
- Requesting Proof of delivery (PODs) from suppliers
- Requesting authorisation to GRN from end users
- Act as first point of contact for escalating of issues from the GRN team members
- Investigate all unmatched invoice issues/ queries
- Participate in Audits and lead on producing evidence to support them
- Participate in training, staff appraisals and development
- Support the delivery of the Procurement Work Plan
- Attend meetings with key stakeholders as required
- To deal promptly with complaints and concerns from key stakeholders and suppliers on commercially sensitive and complex supply service issues, using careful analysis and judgment and responding positively through the use of empathy, persuasion and negotiation with innovative and effective service solutions where appropriate.
