2gether Support Solutions is a Facilities and Estates services company providing support to healthcare professionals caring for over 2,000 patients daily across multiple East Kent hospital sites. 2gether provides vital services including maintenance, cleaning, catering, procurement, logistics and much more.

Are you an organised and proactive administrator who enjoys supporting senior colleagues and keeping a busy team running smoothly?

We are looking for a PA to Director of Facilities, based at Kent and Canterbury Hospital, with occasional travel to our other sites. This is a part time permanent role working Monday to Friday 9:30am - 2:30pm.

You will provide dedicated PA support to the Director of Facilities, alongside administrative support to our Estates and Facilities teams. From managing diaries and organising meetings to preparing reports and supporting projects, your work will help our teams deliver essential services across our hospitals.

This role would suit someone who works proactively and uses initiative to identify competing priorities and handle sensitive information with professionalism and discretion.

Key Responsibilities:

  • Acting as a professional and welcoming first point of contact for colleagues, hospital teams and external partners.
  • Organising meetings, preparing and circulating agendas and papers, and taking accurate minutes.
  • Collating reports and management information, working alongside colleagues to support the monitoring of service performance.
  • Supporting projects and events, helping to plan activities and keep agreed tasks on track.
  • Maintaining workforce records, including rotas, annual leave, absence, overtime and agency bookings.
  • Placing orders, checking invoices and keeping office supplies and equipment organised.
  • Coordinating correspondence, complaints and compliments, and monitoring incident records to support timely follow-up.

What we’re looking for:

  • Experience in administration or secretarial work, including supporting senior managers and working with a range of stakeholders.
  • Strong organisational and time management skills, with the ability to prioritise competing tasks and meet deadlines.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Excellent written and verbal communication skills, with confidence in dealing professionally with people at all levels.
  • Accurate minute-taking skills and experience of supporting meetings and projects.
  • A proactive approach, with the ability to work independently while recognising when to seek advice.
  • Discretion and sound judgement when handling confidential or sensitive information.
  • GCSE English and Maths, together with A-level standard education or a relevant business administration qualification, or equivalent demonstrable experience.
