2gether Support Solutions is a Facilities and Estates services company providing support to healthcare professionals caring for over 2000 patients daily across multiple East Kent hospital sites. 2gether provides vital services including maintenance, cleaning, catering, procurement, logistics and much more.
The role
We are seeking experienced Senior Administrators to join our Estates department based at William Harvey Hospital, Ashford on a full time, permanent contract.
As a Senior Administrator within the Estates department, you will lead and motivate the administration team to deliver high quality service to stakeholders, including management, 2gether Support Solutions staff, contractors and EKHUFT whilst ensuring exceptional service delivery and efficient staffing. The role involves managing multiple IT systems, handling escalations, and supporting the Head of Estates with process improvements. You’ll also contribute to the Estates Helpdesk, Minor New Works, and Compliance team tasks, making this a dynamic and hands-on role within our admin team.
The role
- Act as the main point of contact on behalf of the management team, dealing effectively and professionally with all enquires.
- Line management of the Administrators, including performance management, and support the administration team in the event of any absences.
- Be a 'Super User' on all systems used by the Estates team with the ability to train staff on the operation of the systems. These systems include: Health E-roster, Planet CAFM, Business World, Zeta Safe, Sky Visitor, GoPad, MiCAD & Meg.
- Support the Head of Estates and engineering teams where necessary
- Prepare data for dashboard reports from all systems
- Minute taking at meetings
- Manage Senior Leadership Team diaries and undertake assistant duties where required
- Identify system improvements to better utilise the systems and deliverables
The person
- Ability to work independently, making sound decisions whilst balancing a varied workload.
- Effective communication skills with a range of stakeholders including a multidisciplinary team, using diplomacy and persuasion techniques.
- Able to work to conflicting deadlines and deliver high quality results whilst remaining calm.
- Understanding and complying with regulatory and legal requirements in respect of confidentiality and GDPR.
- Advanced keyboard and demonstrable IT experience, using Microsoft packages and data management systems with strong data entry and accuracy skills.
- Experience working with Purchasing and finance systems
- Experience working in a busy administrative environment
